■ Greetings
External documents often use polite greetings that are not found in internal documents. However, there are fixed phrases, so there is no need to think about it yourself.
■ Writing style
You can write in 「です・ます」or「である・だ」writing style. Also, use written words rather than spoken words. Here are some examples:

To make it easier to read, write the message in bullet points. For example, the time and location of a meeting are difficult to read if written in text, so write them as follows:

(1) Date: The date on which the document is sent can be in Japanese or Western calendar.
(2/3) Receiver/Sender name: For internal documents, include the department name and title. For external documents, include the official company name, department name, title, etc. When addressing an individual, use 様 or 殿, and when addressing a company or department, use 御中.
(4) Title: Make it easy to understand.
(5) Preamble: In internal documents, you immediately write down the business, but in external documents, you write a greeting.
(6) Main sentence: What you want to convey.
(7) Closing sentence: Concluding greetings, and the conclusion is placed right-aligned at the end.
(8) Notes: Only if necessary, list the main points in separate notes. Start with 記 aligned in the center, write the bullet points, and end with 以上 aligned to the right.
